Data protection declaration and registration terms

i. Data protection declaration

You can register for this event by filling in the registration form on our website. To process your registration, we collect and process the following data belonging to you:
Obligatory fields
Personal details: First name, surname
Contact details and affiliation: Position, Institution, and Department you are affiliated to with postal address (Street, City, Postal code, Country), e-mail address  

Accommodation, catering and travelling: need of accommodation, food preferences and allergies
Information about your participation: Research field, choice of poster presentation or talk, Title, Authors and affiliations, Abstract of your talk/ poster (max. 300 words), workshop choices
Optional fields
Personal details: Pronouns
Comments: Comment

In order to be able to register, you must accept our data protection declaration.

Following your registration, we collect this data in our website's content management system and export the data from the website to our local database for further processing. Some of your data will be sent to your specified e-mail address as a confirmation of registration. They will also be sent to our e-mail address for further processing. We use your data to organize the event, including:
● Printing some of the data on name tags or in participant lists (name, affiliation, e-mail address, participation)
● We may use your contact data (name, e-mail address) to send materials/ information relevant to the event (e.g.program, event transcripts)
● Organization of the accommodation and breakfast
● Organization for the catering during the coffee breaks, the lunch buffet and the evening reception(s)
● Design of a plan for the arrangement of the posters (logistics)
● Organization of the meeting schedule with scientific presentations and workshops
● Your abstracts, their title, the names of the authors and their affiliations will be used to prepare the meeting schedule (oral presentations and poster sessions) and the abstract booklet.
You have the option of objecting to the use of your data for these purposes at all times by sending an email with your objection to neurodowo2026@gmail.com. In this case, we will immediately stop sending further information and will delete your data
unless we still require this for other purposes.

ii. Registration terms

With your consent (box ticking) you accept our following terms of registration:
1. We do not accept racism or any other forms of physical or psychological violence at our conference. Participants violating this term will be immediately excluded from the conference.
2. The number of participants per workshop is limited. In the case that a workshop is overbooked, we will contact the last registered participants to attend the other workshop on that day.
3. We will take photos during the conference to publish them on the NeuroDoWo social media channels. Some photos will also be sent to the sponsors of this event. If you want to reject the use of photographs, please contact us at the beginning of the conference.
4. The registration fee must be paid until the April 5th 2026; otherwise, your registration will be rejected/cancelled. Your registration is confirmed only upon the receipt of the registration fees.
5. Once the registration fee is paid, no refunds are possible.
